Event organisers have to be careful how data is managed since GDPR came into force in 2018. There are lots of areas to consider when handling data and here are the 5 riskiest areas of GDPR compliance for event organisers.

Train your staff on the processes

One of the biggest risks to failing GDPR compliance for any business is its people, so you need to ensure your staff are educated on the Regulations and, in particular, which processes they should use to ensure they are compliant. For example do your staff and 3rd parties only have access to the content they need and do they delete it when no longer relevant?

What to do when you receive a request for data to be removed

The right to be forgotten allows requests for all data to be removed from your system, which all sources, including any backups, so in order to handle these requests you need to know , at all times, where your data is, both physically and digitally.

Review and update agreements

You will need to regularly review and update your data sharing and processing agreements to ensure they reflect the current data protection law, as the legal basis for these can change.

Secure your data

It's essential you provide adequate protection for the data you process to ensure you stay compliant with GDPR. It is expected that the data will only be assessed by those with the appropriate authority to do so. It's extremely important this has been considered, and although the right technology can help with this, any information that is printed out also needs to be securely handled at all times.

Map your data flows

To ensure you know where your data is going (and ensure GDPR compliance), map your data flows. These will clearly show how your data is moving around and help your identify anything that is non-compliant with your data policies. How many copies of your Speaker / VIP information do you own on spreadsheets, word documents and print outs – you need to know at all times.
